Submit a Competition Report (Organizer Only)

Submit a competition report after Competition is completed - NOTE: BOS winner information should NOT be entered.

Note that this functionality is available ONLY to competition organizers. It can be accessed from the main landing page as shown in images below and explained below:

  1. If you are a BJCP Judge: After logging in from your judge account - competition password is NOT required in this case.

  2. If you are NOT a BJCP Judge: A competition password (emailed to you at the time of competition approval) is REQUIRED.

The following image shows two potential ways to Access Competition Report function.

  • Find the competition that you want to submit a report for:

    NOTE that only competitions that are completed (i.e., dates are in the past) AND report has not been submitted yet will show up on the list. If you need to make changes to a report you have already submitted - you will have to email [email protected] and [email protected] with a list of changes with competition ID and all relevant judge information.

  • If you are NOT a BJCP Judge clicking on "Next Step" after selecting the competition will bring you to "Competition Password" page. Enter competition password (Emailed to you at the time of competition approval).

  • If you are a BJCP Judge AND the competition is registered under your account - you will be taken to Competition report page without requiring a password.

  • As shown above - at this point you have 3 options:

    • Enter competition report manually online (We will describe this in details below).

    • Enter Competition report by cutting and pasting an XML report from your competition organization software (Make sure the Comp ID matches).

    • Select and upload a XML file from your device.

  • Once your XML is processed (either from cut and paste or from file upload) - If there are ERRORS in XML file - it will show you a list of errors and you will not be allowed to proceed till those errors are fixed. (See image below for an example).

  • If there are no errors OR after you have fixed all the errors - it will take you to a summary page as shown below. Review all data you have entered before hitting "Submit". Or you can go back and edit the data. Once you hit submit - you can NOT edit data anymore other than reaching out to [email protected] to ask them to make each change manually. So REVIEW the summary page carefully before hitting submit.

Filing Competition Report Online

  • Select "Create Online Organizer Report" when you get to the following page (See above)

  • This will lead you to Competition Report Entry page.

  • First enter the total number of entries, Number of Days and Number of Sessions. These entries determine the amount of points you have available to assign to Judges, Stewards, Staff and Organizers. As you enter this data - you will automatically see allowable points below.

  • Next you will enter any BOS - Best Of Shows that your competition might have had one by one (you can enter up to FIVE BOS per competition). You can skip this if you did not have any BOS round.

    Please make sure to enter number of entries on each BOS flight and type of BOS (Beer, Mead or Cider). This information is needed to determine allowable BOS judging points for the competition.

  • Once you have entered BOS Data you are ready to enter individuals

  • To add a BJCP Judge, Click on "Add BJCP Judge". It will create a new line with four fields. "Judge", "Role", "Judge Points", "Non Judge Points".

  • As you start entering the name of the judge or Judge ID - it will find matching judges and auto-fill the name. This speeds up the judge entry and avoids typing/spelling mistakes.

  • Next you will declare the role that judge performed for the competition - the following list shows the options.

  • Next you will enter corresponding judging or non-judging points. Note that at this point if you enter a number that is not allowable - it will issue a warning (as shown below) and you can not proceed until you fix that error.

  • Entering a non-BJCP judge is the same except that the names will not be auto-filled. You must make sure that you do not make any spelling mistakes in their names to make sure we can find and credit them with points in case they become a BJCP Judge in future.

  • When all names are entered - click on "Next Step" to go to the summary page.

  • At this point you can review the report and if any correction is needed - click on "Back to edit" to go back to previous page. Once you hit submit - you can NOT edit data anymore other than reaching out to [email protected] to ask them to make each change manually. So REVIEW the summary page carefully before hitting submit.

  • Once you hit "Submit" you are done! Thanks for submitting your report on time!!
